Job Title: Logistics Manager
Location: Um Dkhun
Administrative supervisor: Base Manager
Technical Supervisor: Logistics Coordinator
Line Responsible for: Logistics Officer, Driver, Watchmen, Cleaner, Cook
Works in collaboration with: all the departments, technical coordinators, activity managers, other deputies.
1/ Responsibilities and related tasks:
Under the responsibility of the Logistics Coordinator, the logistics manager ensures the good functioning of the logistics activities of the base.
1- Supervise the supply chain:
• Ensure that procurement is done, in accordance with TGH Logistics Procedures
• Ensure that there is no gap of communication within the supply chain
Related tasks:
• Ensure the respect of purchase procedure
• Follow the purchases within the base
• Follow the movements of goods
• Check the validity and availability of documents needed
• Update price list
• Make proper filling for the procurement and purchase documents
• Inform the program teams on the arrival of the supply from different places
2- Support in storing management:
• Follow up the stocks of all goods and materials and check the inventories
• Ensure the monthly report on time
• Ensure the inventory report send to the logistics coordinator on time
• Maintain and update the state parks monthly
• Make physical check to the assets and report them to logistics coordinator
• Supervise the loading / offloading of goods and materials
• Follow up the trucks and report cards, Bin Cards, release order
• Ensure the safeguard to all the materials in the store and ware house
• Ensure the fuel ordered and stored in proper place
Related tasks:
• Make physical check to the ware house
• Follow the assets and the proper tools and follow the movements for repairs
• Assess the storage area and suggest changes if need
• Check that materials and goods are properly stocked
• Collect information and follow assets
3- Supervise Vehicle and Maintenance:
• Supervise the maintenance of the vehicle, their insurance, registration
• Provide separate file for legal document of the vehicle
• Ensure the log book, fuel, maintenance of vehicle is in the place
• Ensure the generators and electricity is well working
4- Communication:
• Make sure the functioning of the Internet, V – sat and communication devices are well working and maintained in good condition
• Maintain the VHF, HVF and Thuraya equipment and keep them in safe place with record
5- Staff management:
• Supervise the logistics staff under him/ her
• Make appraisal and evaluation to them
• Organize training and Motivate them
6- Follow training plans and logistics staff appraisal:
• Train the local staff on all logistics or management aspects
Related tasks:
• Insure that training planning are on process and that each logistics staff is on progress
• Any other tasks may be required for the running of the base and the projects
7- Capacity – building:
• Participate actively in the training courses recommended by TGH, and share new skills and knowledge with his / her team or colleagues
• Take a proactive stance to identify areas requiring development and tailor training as appropriate
• Through supervision and training, enable TGH staff to take on greater role in the performance of their tasks throughout the programme
• Ensure that capacity – building activities are implemented properly at field level
• Co – operate in the supervision of partner organizations according to TGH partnership agreements
2/ required Knowledge, skills and personal features:
Knowledge and skills:
1. University degree
2. Good knowledge and experiences in logistics (2 years)
3. Good project and team management skills (one year)
4. Knowledge in mechanic, electricity appreciated
5. Excellent computer skills (Excel, Word, Outlook, Internet)
6. Excellent spoken and written English and Arabic
7. Pro – activity
8. Aptitude to work in insecure environment
9. Previous experience of work in NGO highly appreciated
10. Bachelor degree required, Masters appreciated
11. Engineer profile highly appreciated
